1.Introduction

The LIQUIDICE project, funded by the European Union, is committed to ensuring the protection of personal data in compliance with the General Data Protection Regulation (GDPR) (Regulation 2016/679).

The LIQUIDICE website is run by the Institute of Geophysics, Polish Academy of Sciences (referred to hereafter as IG PAS), coordinator of the LIQUIDICE consortium.

This policy outlines how personal data will be collected, used, stored, and processed to access services through the LIQUIDICE website.

The LIQUIDICE is committed to protecting and respecting your privacy. This Privacy Policy relates to our use of any personal information we collect from you:

  • via online services: the LIQUIDICE website (www.eu-liquidice.eu) and the LIQUIDICE social media pages and accounts (BlueSky, LinkedIn, Facebook and Instagram),
  • via any Bluetooth, Wi-Fi or any similar technology that may communicate with your (mobile) device including identifying its location. This includes collecting unique online identifiers such as IP addresses, MAC addresses, which are numbers that can uniquely identify terminal equipment such as a specific computer, handset, tablet or other network device on the Internet.

This Privacy Policy also relates to our use of any personal information you may provide to us by phone, e-mail, post or other correspondence, or in person.

2. Data Controller

The LIQUIDICE project consortium as the data controller is bound by the Joint controller Agreement according to Art. 26 GDPR. Any questions regarding data protection or GDPR compliance can be addressed to the Data Protection Officer (DPO) at the respective partner (a list of all partners of LIQUIDICE can be found at www.eu-liquidice.eu/partners).

3. Data Collection Purpose

When you access or sign-up to any of LIQUIDICE services, for example mailing lists, chats with our social media accounts, message boards, web and mobile notifications, we may receive personal information about you.

LIQUIDICE may use your personal information:

  • to promote and present the scientific achievements of the project
  • to provide you with information about the project outcomes and results
  • to provide you with our services
  • to provide you with information about our services
  • to deal with your requests and enquiries
  • to provide you with the most user-friendly online navigation experience
  • for service administration purposes, if you sign up for any service
  • to use IP addresses and device identifiers to identify the location of users, to block disruptive use, to establish the number of visits of our website
  • for analysis and research purposes so that we may improve the services offered by LIQUIDICE
  • we also use and disclose information in aggregate (so that no individuals are identified or identifiable) for statistical purposes.

4. Types of Personal Data Collected

The following types of personal data may be collected from applicants:

  • full name
  • e-mail
  • IP addresses
  • any additional data provided by the users of this website.

5. Legal Basis for Processing

  • Consent:” Applicants provide explicit consent when submitting their applications, agreeing to the collection and processing of their personal data.
  • “Contractual Necessity:” Data is necessary to provide LIQUIDICE services.
  • “Legal Obligations:” LIQUIDICE may also be required to process data to comply with EU laws and regulations.

6. Data Retention

Personal data will be retained for as long as necessary to fulfil the purposes for which it was collected, including compliance with legal, reporting, and auditing requirements. Once the evaluation process and any subsequent activities are completed, the data will either be anonymized or securely deleted.

7. Data Sharing

LIQUIDICE will not sell, rent, or otherwise disclose personal data to unauthorized third parties.

8. Data Security

Appropriate technical and organizational measures will be in place to protect personal data from unauthorized access, alteration, or loss. These measures include encryption, access controls, and regular security audits.

9. Data Subject Rights

Under GDPR, individuals whose personal data is processed by LIQUIDICE have the following rights:

  • Right of Access: Individuals can request access to their personal data.
  • Right to Rectification: Individuals can request corrections to inaccurate or incomplete data.
  • Right to Erasure: Individuals can request the deletion of their personal data when it is no longer necessary for the purposes collected.
  • Right to Restrict Processing: Individuals can request limitations on how their data is processed.
  • Right to Data Portability: Individuals can request that their data be provided in a structured, commonly used, and machine-readable format.
  • Right to Object: Individuals can object to the processing of their data in certain circumstances, including for direct marketing purposes.
  • To exercise any of these rights, individuals can contact the DPO of IG PAS.

10. Data Breaches

In the event of a data breach, LIQUIDICE will notify the relevant supervisory authority and affected individuals within 72 hours if the breach poses a risk to their rights and freedoms.
